Q: Does WinCare save a copy
of the transmission file? If so, where?
A: When WinCare creates an
MDS transmission file, it places the file into an upload folder by
default
in the WinCare directory.

Q: How do I edit an MDS
assessment in discharge mode?
A: The
following changes to allow a user to edit in discharge mode must
be done by an individual
with system administrator rights:
a. Click Utilities
from the WinCare control panel.
b. Click Facility.
c. Click User
Security levels.
d. Highlight the security
clearance for the user that needs the editing rights and click Edit.
e. The displayed screen will
have the option Clearances Apply to Discharge Records.
f. Click Yes
and the user will be able to edit MDS assessments even in discharge
mode.
g. Click exit
and return to the MDS screen.

Q: How do I resend a
particular assessment to the state?
A: The following steps will
enable you to resend and assessment to the state:
a. Click MDS 2 from the
WinCare Control Panel.
b. Click once on the
assessment to highlight it.
c. Click Edit.
d. Click Section R.
e. Click Resend. This will
put the assessment into the
queue for a transmission file to be
sent
to the state. A transmission file can now be created and transmitted to
the state.

Q: I am receiving the error message, "Unable to open RAP and edit because another user was editing an assessment". How do I solve this problem?
A: The following steps will
resolve the problem.
a. Click Utilities from the
WinCare Control Panel.
b. Click Facility.
c. Click Clear Rap Lock. This
will clear the message and problem.

Q: I coded an assessment
incorrectly; do I have to delete it and start all over?
A: No,
you can highlight the assessment in question and click Copy.
Enter the correct coding.
Click OK.
This will
copy all of the data to the new assessment. You can delete the old
assessment that
does not apply.

Q: I received an error message "No Contact Name in Header" on my validation report after sending a transmission file.
A:
This
error occurred because the contact name in the facility information is
missing in the
WinCare information screen; therefore it is
missing in
the header of the WinCare transmission
file.
To resolve this issue,
follow these steps:
From the WinCare Control Panel, click Utilities.
Click Facility.
Click Facility Information.
Input the
correct data.
Exit the utilities module.
Click MDS 2 from the
control panel.
Highlight the assessment.
Click Other.
Click Create New Transmission File.
Click Copy to Clipboard and Exit.
Connect to the state and transmit the file.

Q: I sent an MDS assessment
that should not have been sent.
A: To
resolve this problem, you will need to create an inactivation for the
incorrect assessment
by following these steps:
Click MDS 2 from the
WinCare Control Panel and highlight the assessment in question.
Click Inactivate to create an inactivation
for the assessment in
question.
Highlight the inactivated assessment.
Click Edit
and fill out the AT section.
Click Section R.
Check for
completeness and click Close.
Upon
completion, the inactivated
assessment can be transmitted to the state.

Q: Does
the Assessment Due Scheduler display when the assessment needs to
be
completed by, or the day that it needs to be transmitted?
A: Most
states allow 30 days to transmit assessments but the WinCare program
displays the
date when the assessments are completed in the
Assessment
Due Scheduler.

Q: How
do I create an MDS
transmission file?
A:
You
need to Check and Close your assessments in Section R of your MDS
assessments.
Click MDS 2 from the WinCare Control
Panel.
Click Other.
Click Create Transmit File (it doesn't
matter which resident is selected).
Then
create a file for as many assessments as you wish by clicking Create
File and send the
file to the state with AT&T
Global.

Q:
How do I print a blank MDS form?
A: First highlight the assessment that you want a blank hardcopy of. On the MDS main screen, click Blank Form. Click Yes > to print a blank form. If you wish to print a blank assessment of a type that the resident hasn't had, then Add the assessment, print the Blank Form, and then Delete the added assessment.

Q:
How do I print a report in WinCare Clinicals for multiple residents? All residents?
A: To
print a report for all or multiple residents:
First go to Reports on
the WinCare Control Panel.
Click the "Individual Reports"
tab.
Select the
report(s) that you want to print.
Click Select Resident Set and select the
residents you want in the report.
Click the All button if you want all
residents.
You can also hold down CTRL key down while you
select.
(This selects them if they are
unhighlighted, or unselects
them if they are selected.)
After highlighting the residents you want
to print the report for (such as a MAR), then click Ok.
Click Print.
When WinCare asks "Use selected resident
set? Yes
No" click Yes and the reports for
those residents will
print.
If you
want to print for all residents in the facility, then another way to do
that is to click *
Print all residents instead of going to
[Select
Resident Set] then print.

Q:
How can I print specific pages of my MDS assessment rather than the whole thing? We made a change and only need page 5 printed.
A:
Highlight the assessment. Click Print. Click the "Pages:" radio button. Enter the page # or page range you want printed. For the example above you simply enter "5" then click print. If you want to print pages 5 through 7 then enter "5-7" or want pages 3,4 and 8 enter "3,4,8" and click print.

Q:
We made a MDS transmission file in WinCare and then clicked Copy to Clipboard and Exit. But when we go to the State Web Site to transmit, CTRL + V doesn't work and nor can we right-click and paste because the paste option is not highlighted. What are we supposed to do?
A:
The state has changed their system and for an unknown reason no longer allows pasting into the File Name/Path box. Instead users must use the Browse Button. By default, WinCare stores the MDS transmission files under C:\WINCARE\UPLOAD. Therefore, if the user clicks browse, clicks the drop down at the top of that small window and chooses the (C:) drive then double-click WINCARE folder then double-click UPLOAD folder you should see your transmission file(s).
